What will you be doing !

- Acting as the main contact to answer a wide range of questions, (typically in regard to a particular system/process, procedure/policy, obtaining and providing information to stakeholders within and outside of CNL ensuring timely and accurate responses.
- Organizing, prioritizing, assembling, editing (to make better) and formatting technical reports, presentations and documents to make them consistent, accurate and valuable; expedites these, when required, to customers before the established deadlines.
- Providing assistance to the department staff with composing (writing), formatting and issuing of correspondence ensuring consistency and high quality corporate image.
- Managing department inventories; performing spreadsheet and database updates, and preparing all shipping/purchasing documentation.
- Coordinating and monitoring Department workflows to ensure that established processes, practices, policies and procedures are adhered to. Acting independently and with Department staff to identify, analyze and resolve issues with Department processes.
- Tracking financial data such as expenses against budget, for the department and other projects as needed and reporting on variances as per given guidelines.
- Providing the manager and staff with recommendations on expenses such as office supplies and reviewing items, such as travel request or expense claims, for accuracy and adherence to company policies.
- Providing input to the planning and implementation of work and scheduling of to meet branch deadlines.
- Designing and implementing tracking systems to ensure staff are meeting of deadlines (e.g., updating procedures, performance appraisals, etc.).
- Other duties as assigned by your manager.
What we are looking for :
- Abilities and Skills:
- Oral and written English communication skills are essential to write a variety of procedures, letters, and formal correspondences, presentations and reports, and to deal with internal and external customers.
- Knowledge of the correct usage, spelling and punctuations of English and experience in editing, reviewing, and handling large documents.
- Knowledge of Microsoft Office Suite for creation of basic Word documents, formatting procedures, exporting and running reports, preparing presentations and corresponding using e-mail.
- Knowledge of office equipment such as printers, fax machines, photocopiers, and scanners.
- Ability to work independently under minimal supervision and establish own priorities to meet conflicting deadlines.
- Knowledge of CNL procedures, processes, practices and policies and best practices in administration.
- Knowledge of CNL’s business systems: Oracle, Management Financial Report Centre, ATOM.
- Experience:
- Two to four years of related experience as an Administrative Assistant or Office Assistant.
- Education:
- Successful completion of secondary school (Grade 12) with 2 to 4 years of related experience OR College diploma in a related discipline (e.g. Office Administration) and one year experience.
- Security clearance eligibility required : Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom.
Working Conditions :
- The job may require occasional physical effort in lifting, (i.e., office supplies deliveries); Frequent effort with climbing stairs (no elevator in B513); walking (to printer/copier area); sitting for meetings and computer work (dexterity and precisions movements when keyboarding).
- Tasks may require concentrated level of attention to detail when doing data entry, proof reading/formatting documents, or taking meeting
